Commercial Property Management Software vs Custom Automation
If you run a commercial property firm in India, you've probably evaluated Appfolio, Buildium, or Yardi. They're solid platforms — but a lot of teams end up running spreadsheets, WhatsApp threads, and email follow-ups on top of them. Here's an honest look at where off-the-shelf software ends and where custom AI automation starts paying for itself.
What off-the-shelf software does well
- Tenant and lease databases with standard fields
- Rent collection, ACH/UPI, and accounting integrations
- Tenant portals for maintenance requests and document access
- Standard owner statements and basic financial reports
- Mature mobile apps and a large support ecosystem
If your portfolio fits the platform's default workflow, this is usually the right starting point. Don't build what a $50/unit/month SaaS already does.
Where commercial managers still feel the friction
- India-specific GST compliance. Most US-built PMS tools don't model GST returns, RCM, or HSN/SAC codes for commercial rent. Teams export to Excel and reconcile by hand.
- Complex maintenance routing. Routing a tenant request to the right vendor based on building, contract, asset type, SLA, and time of day rarely fits a built-in rule engine.
- Owner-specific reporting. Every institutional owner wants their own template. Pulling figures into a branded monthly PDF is still a person with Excel and Google Slides.
- Lease renewal pipelines. Multi-stakeholder renewals — legal, owner sign-off, escalation clauses — usually live in spreadsheets parallel to the PMS.

How to decide
A useful rule of thumb: if your team spends more than ~10 hours a week on a workflow your PMS doesn't natively handle, that workflow is a candidate for custom automation. The PMS keeps running everything it does well; automation removes the manual layer on top.
