How to Automate Vendor Insurance and Compliance Tracking for Property Portfolios
One expired vendor COI is all it takes to expose an owner to a six-figure liability claim. Most property firms still track certificates in spreadsheets and chase renewals over email. Here's how to automate intake, verification, and alerting end-to-end.
Why manual COI tracking fails
- Certificates arrive by email, WhatsApp, or printed copies — no single source of truth.
- Renewal dates are buried in PDFs. Nobody notices until a vendor shows up uninsured.
- Insurance limits, additional insured language, and policy carriers aren't verified — just filed.
- When an incident happens, finding the active COI for that date is its own project.
The four stages to automate
- 1. Intake. A single submission link or email alias accepts COIs from every vendor. Files are parsed automatically — carrier, policy number, limits, effective dates, additional insured, expiration.
- 2. Verification. Extracted fields are checked against your contract requirements (e.g. $2M general liability, owner named as additional insured). Anything short of the requirement flags for review before acceptance.
- 3. Storage and lookup. Every COI is filed against the vendor record with a clean audit trail. Asking "was this vendor covered on March 14?" becomes a one-click answer.
- 4. Automated alerting. The system pings vendors 60, 30, and 7 days before expiry. If a vendor goes non-compliant, dispatch is paused automatically and the operations lead is notified.
What "good" looks like
For portfolios we've worked with, automating COI tracking eliminates ~6 hours per week of admin work and brings vendor compliance from roughly 70% to above 98%. The real win is the audit trail — when an incident happens, the file is one click away with a verified timestamp.
What to build vs. buy
Off-the-shelf compliance tools (Jones, myCOI, TrustLayer) handle the basics but are priced for enterprise portfolios and rarely integrate with the systems Indian property firms actually use — WhatsApp for vendor comms, Tally for accounts, custom PMS for dispatch. Custom automation lets you wire intake into WhatsApp and alerts into the channels your team already lives in.
